Feel Harmoni is designed around deeply personal parts of wellbeing. This policy explains what we collect, why we need it and the choices that stay with you.

Important before launch

This is a working privacy notice.

It reflects the product currently being built. The legal entity details, registered address, final retention schedule and complete processor list must be confirmed with privacy counsel before the app or membership goes live.

Who we are

Feel Harmoni is the organisation responsible for deciding how and why personal information is used across the Feel Harmoni website, mobile app, membership, studio and FuelHer café. In data-protection language, we are the “controller”.

Privacy questions can be sent to admin@feel-harmoni.com. Our full legal name, company number and registered address will be added here before launch.

Information we collect

Depending on the services you use, this may include:

  • Waitlist details such as your name, email address, area of interest, consent and unsubscribe preference.
  • Account details such as your name, email address, phone number, profile details and authentication records.
  • Identity-verification information including the outcome and reference supplied by our verification provider. We do not need to keep a copy of every identity document ourselves.
  • Wellness information you choose to provide, including cycle dates, period status, energy, mood, sleep, stress, check-ins and responses used to shape your Halo guidance. Some of this is health data and receives extra legal protection.
  • Journal information such as private text, photos and your Reflective Mood rating.
  • Membership and activity information including subscriptions, class credits, bookings, attendance, studio check-ins, progress, rewards and community preferences.
  • FuelHer information including meal and drink choices, collection times, allergy or dietary information you provide, order history and credit usage.
  • Payment information such as payment status, transaction references and refunds. Card details are handled by our payment provider rather than stored in the Feel Harmoni app.
  • Communications including support requests, notification preferences and messages you send us.
  • Technical information such as device type, app version, security logs, crash information, IP address and push-notification token.

How and why we use it

We do not sell personal information. We do not use journal words or photos for advertising, staff profiling or general analytics. We will record the final lawful basis and special-category condition for every live processing activity before launch.

Your journal is your private space

The words and photos you add to My Journal are not made available to Feel Harmoni staff or administrators. Product safeguards are designed so operational and support tools can see completion facts—not the content of your entries.

Your Reflective Mood rating may be used separately to personalise your experience and, where appropriate, in aggregated reporting. We will explain any change to this boundary before it takes effect and ask for consent where required.

Who we share information with

We share only what is needed with carefully selected service providers, which may include:

  • cloud hosting, database, file-storage, monitoring and security providers;
  • Stripe for payment processing and identity verification;
  • Resend for waitlist contacts and email delivery, plus any future SMS and push-notification providers;
  • professional advisers, insurers, auditors or authorities where the law requires it; and
  • a buyer or successor if the business is reorganised, provided appropriate safeguards apply.

Providers acting for us must follow our instructions, keep information secure and use it only to deliver their service. If information is transferred outside the UK, we will use an approved safeguard and explain how to obtain a copy of it.

How long we keep it

We keep information only for as long as it is needed for the purpose described, taking account of your account status, legal and tax requirements, disputes, safeguarding, fraud prevention and secure backup cycles.

Waitlist details are kept until the launch-update programme ends, you unsubscribe, or you ask us to delete them—whichever happens first—subject to a short suppression record where needed to respect an opt-out.

Journal content and wellness information should be deleted or anonymised when your account is deleted unless a legal reason requires a limited record to remain. Payment and contractual records may need to be kept longer. A category-by-category retention schedule will be approved and published before launch.

Your choices and rights

UK data-protection law may give you the right to:

  • ask for a copy of your personal information;
  • correct information that is inaccurate or incomplete;
  • ask us to delete or restrict how we use information;
  • object to certain uses, including direct marketing;
  • receive information you provided in a portable format;
  • withdraw consent at any time, without affecting earlier lawful use; and
  • ask for human review of a significant decision made solely by automated means.

Email admin@feel-harmoni.com to make a request. We may need to verify your identity. You can also complain to the UK Information Commissioner’s Office at ico.org.uk.

Website cookies and analytics

The current Feel Harmoni marketing website does not use advertising cookies or behavioural tracking. Its waitlist form stores the details you submit in our managed cloud database so we can send the launch updates you request. Resend also processes those details as our waitlist contact and email-delivery provider. Each marketing email will include a way to unsubscribe. If analytics or non-essential cookies are introduced, we will explain them here and request consent where the law requires it.
